0:00 Why Form Submissions Never Reach Your Inbox
Your form said the lead was sent, but you never got the email and nobody told you it failed Here’s the honest answer of front a form on your website that says submitted only means that the site saved the entry To its database it says nothing about whether the notification email ever reached your end These are two completely different things and most contractors never know the difference until they lose a job Then you walk you through exactly why this happens and had to find out if it’s happening to you right now And what to do about it this week?

0:38 Real Contractor Story That Started This
The story that started this video a contractor we work with moved to a new web host during a site Redesign and nothing looked broken the site was live and the form had its own little Confirmation message and forms entry log inside WordPress showed every submission with a timestamp and And a note that the notification email had been sent out But the contractor never got a single email a Homeowner had filled out a quote request with a real job and real money on the table and the contractor found out weeks later when the homeowner Called to follow up. This is not a glitch. This is a system working exactly the way a broken email set up works The form did its job, but the email did not

1:23 Submitted Does Not Mean Delivered
Submitted is not the same as to live This is the single most important thing in this entire video when someone clicks the submit button on the form on your website Two things happen separately first the form plug -in saves the entry and that is what shows up in the entry log and that part almost never fails Second the form plug -in tries to send you a notification email and that part can fail silently with no error message No alert nothing. So the confirmation message the visitor sees Hey, thanks a lot will be in touch fires after step one But it has no way to know whether a step two worked or not So your visitor thinks that you got the submission to the form They just filled out and you think you got it, but

2:10 SPF and DKIM Explained in Plain English
nobody got it why it happens Hosh mail SPF and DKIM in plain English So here’s the mechanism with no jargon By default WordPress sends email through whatever server it’s hosted on that server uses your domain name as the from Address, but your domain has a record in the DNS called an SPF record SPF stands for sender policy framework It is a list of servers that are allowed to send email on behalf of your domain So if you use Google workspace for your business email your SPF record probably says only Google servers consent as my domain When WordPress sends a notification through the hosting server that server is not on your SPF list So Google looks at that email and sees it came from an unauthorized server and either drops it to spam or refuses to deliver the email at all and DKIM is similar It’s a digital signature that proves the email was sent by an authorized source If your hosting server is not set up with DKIM the email arrives unsigned Span filters do not like to unsigned on authorized email neither does Outlook neither does Gmail So the email is gone before you ever see it

3:30 Redesign That Silently Broke Lead Email
Story one the redesign that silently broke lead email So let’s go back to the contractor on this new website that we designed for him the old host had been configured with SMTP Meaning WordPress was routing the email through a real email servers not the host local mail server When the site moved to a new host nobody set up SMTP again and WordPress defaulted back to sending through its own host local server and that server was not in the domains SPF record The domains SPF only had authorized Google So every single lead notification failed SPF authentication and Gmail dropped them The entry log still said send because the form plug -in handled the email off to WordPress WordPress handled it off to the host server and the host server sent it but Google rejected it on the other end So the form plug -in never knew and WordPress never knew and the only signal was silence We went into the form entry log found the misleads and set up WP mail SMTP Routed it through a transactional email service Forced the from address to a real company mailbox instead of a no reply address ran a test and the test landed in the inbox with SPF passing and DKIM passing Then we recent the misleads manually

4:56 Server IP Change Broke It Again
Story two it broke again two days later This is the part that most people skip over and it matters two days after we fix the email setup The hosting company moved the site to a different server and the server IP address changed So the transactional email service had an authorized sending IP restriction turned on and that new server’s IP was not on the list So the email service again blocked the outgoing messages from the new IP and three more lead emails failed They had no error message no alert just silence again The fix was simple turn off the IP restriction in the email service because a managed hosting environment can change IPs without warning and you need email to work regardless

5:43 What a Solid SMTP Setup Looks Like
But the bigger lesson is this email delivery is not a set and forget -it thing Any change to your host your server your DNS records or your plugins can break it again The fix is SMTP through a real email service and here’s what a solid setup looks like One and sell WP mail SMTP or an equivalent plug -in and do not let WordPress use the host email server two Connected to a transactional email service. There are several reputable ones The specific brand does not matter as much as using the one that is built for reliable delivery three Set the from address to a real mailbox at your domain Not no reply not webmaster not a generic address a real email someone monitors Four check that your domain’s SPF record includes the transactional email service servers Five make sure DKIM is configured through that email service Most of them walk you through this step by step after all five of these are done send a test Check the email headers and you should see SPF pass and DKIM pass If you fail to see either one pass the problem is not solved yet the backup path never rely on email alone

7:02 Why You Cannot Rely on Email Alone
Here’s what saved the contractors leads in both these stories Every form submission was also being sent directly into our CRM not through email direct database connection So even when the email failed the lead existed in our CRM nothing was lost There was also a daily lead a summary of every new lead coming from previous day sent to the owner each morning That digest gave the contractor a second shot at catching anything that slipped through For story three a different client’s hosting environment was simply unreliable for the WordPress mail And we did not try to fix it feed directly into the CRM and skip email notification Entirely as the primary path the lesson here is that email is convenient But not always reliable enough to be your only path for leads You need to wire every form submission into your CRM as well If you do not have a CRM set up a text notification as a second path a Broken email should never cost you a job the two -minute test you should

8:04 Two-Minute Test to Run Today
do today So this is not complicated Just grab your phone and go to your own website and fill out your own contact form using a personal email address Not your business email then check your inbox and check your spam folder Check it on your phone and not just the desktop mail client if the notification email shows up open it Click the three dots or the drop -down and look at the original message headers You’re looking for two things SPF pass and DKIM pass If you see fail and either one your emails are at risk even they’re currently landing in your inbox Some hosts have enough reputation to slide on Authenticated email through sometimes and that changes without warning if the email does not show up at all Check the spam folder first if it doesn’t go there either go to your forms plug -in entry log and confirm the submission Was recorded if the entry is there, but no email arrived anywhere your notification email is failing silently Fix it today

9:07 When to Retest After Site Changes
When to retest you cannot test once and walk away retest your form after any website redesign Any hosting migration or server change any DNS record update any new email provider Any new major plug -in update on the form plug -in or the SMTP plug -in and that list covers most of what goes wrong Most of the time nobody tests after those changes because the site looks and feels fine The form still sends a confirmation message everything looks normal, but the email can be broken and you will not know until you check

9:42 Action Checklist for This Week
What to do this week? Here’s a simple checklist this week do the two -minute test on your own form if the email is failing Install and configure WP mail SMTP right it through a transactional email service Set the form to be a real monitored mailbox verify SPF and DKIM pass in the email headers Also this week make sure every form lead writes to a CRM or a text notification in addition to email Pull up your form entry log and compare it to your inbox for the last 30 days and count the entries Count the email notifications that you remember getting if those numbers are far apart You have leads that went missing and you should add a retest reminder to your calendar for every time you update your site Change host or change DNS and if you want someone else to handle this we test every client form after the site change and why we’re each lead Into their CRM we create for them so that every broken email never cost a job the link is below I’m Jeremy Ashburn with PushLeads I help small businesses get more leads without struggle and frustration talk soon
